Connecting External Users

Users within your organisation are onboarded and configured by your admin users. These are paid users that work exclusively for your organisation, they have mobile & web access and you control their role, permissions and visibility accordingly.

One unique feature of the Case platform is that you can connect with external users such as Surgeons, Practise Managers, Registrars and External Sales Reps who do not sit exclusively within your organisation but can engage with your team to request cases, add notes, view your Drive documents and much more.

External users can only access Case via the mobile platform.

Any external user who are signed up to the Case platform can request to connect with your company at no extra cost to you!

An external user who requests to connect with your company will appear in your Admin>Users panel with a Review status and alert icon as shown below.

It is then the responsibility of your company admin to review that request from the external user and provide them with an appropriate assignment or decline their request to connect.

Do not assign external users without first validating them as you are responsible for all their activity in your instance, including their ability to edit or delete your data.

These external users will always have limited capability and visibility as they can only be connected to existing surgeons in your Surgeon list and will never have global access to cases or admin settings.

They do however have access to your Drive and therefore can see any documents shared with their external role, therefore it is important to correctly configure the visibility functions on your Drive content.

Make sure sensitive documents have the correct permissions assigned to them in the Drive Settings!

To simplify document access try adding external users into existing groups!

Clicking on the user in the table and then the Assign Surgeon will open up the modal where you can select the appropriate surgeon(s).

Using the search function if required for the surgeon surname and then using the checkbox to select the suitable surgeon, before clicking the Submit button will make that connection.

If the surgeon does not appear in this list you will need to navigate to the Surgeons panel to create a new surgeon with the appropriate procedures and hospitals, before returning back to this modal and selecting that new surgeon.

Once completed the status of the user is updated to Assigned and you can see in the user info panel which surgeon they are connected too.

Remember to save changes for this user in order to complete the process.

You can at any time choose to disable this connection by clicking on the assign surgeon button and unchecking the currently assigned surgeon before saving changes. This will put the user back into review status.

The user is automatically notified by email and iOS notification when they have been connected to your system.

The following sections describe the different external users who may connect with your company and their differences.


Surgeon

Surgeons linked into your system have full visibility over all their cases, past & present and the ability to request future cases, add notes, view shipping info, and Drive Documents.

A surgeon connection is a one to one link where the user is assigned to one existing surgeon in your Surgeons panel.

This surgeon may need to be created in the Surgeon Panel by an admin as a new surgeon or they may already be in the system and have multiple cases assigned to them.

Once the connection is made all the cases, past present and future will be immediately available to that user!

Providing a connection to this user will enable them to engage with your team in a number of ways including the following core features

  • A surgeon can Request future cases

  • Surgeons are notified when requested cases get Booked by the internal team

  • Surgeons can add case notes and documents to upcoming cases

  • Surgeons can view Case Guidance for cases

  • Surgeons can view Drive documents that are visible to the surgeon role

  • Surgeons can add usage information to Booked cases

  • Surgeons are notified and can view shipping information for cases

  • Surgeons can add an existing case to their own calendar

  • Surgeons have basic case analytics


Practise Manager (Registrar)

Practise Managers linked into your system have full visibility over all cases, past & present for the surgeons with which they are assigned, and the ability to request future cases, add notes, view shipping info, and Drive Documents.

A Practise Manager connection is a one to many link where the user is assigned to one or more existing surgeon in your Surgeons panel.

These surgeon may need to be created in the Surgeon Panel by an admin as a new surgeon or they may already be in the system and have multiple cases assigned to them.

Once the connection is made all the cases, past present and future for all assigned surgeons will be immediately available to that user!

Providing a connection to this user will enable them to engage with your team in a number of ways including the following core features

  • A Practise Manager can Request a future case on behalf of any of their assigned surgeons

  • Practise Managers are notified when requested cases get Booked by the internal team

  • Practise Managers can add case notes and documents to upcoming cases

  • Practise Managers can view Case Guidance for cases

  • Practise Managers can view Drive documents that are visible to their role

  • Practise Managers can add usage information to Booked cases

  • Practise Managers are notified and can view shipping information for cases

  • Practise Managers can add an existing case to their own calendar

  • Practise Managers have basic case analytics.


External Sales Rep

External Sales Reps linked into your system have full visibility over all cases, past & present for the surgeons with which they are assigned, and the ability to request future cases, add notes, view shipping info, and Drive Documents.

An external sales rep connection, just like the practise manager is a one to many link where the user is assigned to one or more existing surgeon in your Surgeons panel.

These surgeon may need to be created in the Surgeon Panel by an admin as a new surgeon or they may already be in the system and have multiple cases assigned to them.

Once the connection is made all the cases, past present and future for all assigned surgeons will be immediately available to that user!

Providing a connection to this user will enable them to engage with your team in a number of ways including the following core features
